CCYSA Board Meeting
January 16, 2002
Kim called the meeting to order at 7:05 p.m.
Attending: Kim Moyer, Pam Lettie, Pat Pope (registrar), Frank Beam, Mike Casey, Stuart Atkins (BRYSA), Jill Butler, Tom McCall (left after 10 minutes), Tony Wilson (Big Toe sports), Betsy Munson.
BIG TOE SPORTS: Tony Wilson of Big Toe Sports, a former Internet company came to pitch us on using their products/services. In 2001 Big Toe started using outside sales reps. Big Toe is largest Adidas dealer in the nation. Wilson introduced Big Toe and their discount programs for leagues, teams, etc. The more you buy, the greater the discount. Wilson has the option of going between prices if he wants. He could have a club discount, so anyone in the league can order at a discount. CCYSA could, for example, get five percent back as a fund raiser. They can help us find people to run camps, too. Big Toe is connected to MLS. Their Web site is bigtoe.com or bigtoesports.com. More is available online than is in the catalogue. Casey asked to see samples. They aren't available now; there are too many conventions going on. Jill suggested that he bring samples to the coaches meeting at the end of the season. Frank points out that the four travel teams may need uniforms. Also, Wilson noted that for a March tournament, the U14 teams need some guest players. If interested, call Tony Wilson, 540-477-3784. The deadline is in February for the March tournament.
BRYSA: Atkins went to his board to bring up the issues mentioned last meeting . He brought the agreement with BRYSA that is the same as last fall. He signed it and gave it to Kim. Dodson asked whether the BRYSA teams would also have player passes. Atkins said he couldn't promise, but he'd hope so. Warren County had put a 20-something youth on the field. We have to show passes if asked by the opposing coach. Atkins says they know their players. Teams from out of the Blue Ridge district have to have passes if asked. BRYSA is thinking about assigning points for cards. If a player acquires 20 points, then they get another game sitting out. The coach will be on the hook if a player gets two red cards. Paperwork has been finalized, but they expect to vote at their next meeting (first Thursday in February.) We will get something in writing when / if it passes. Coaches meeting is expected to be the first of March. Mark Pennypacker coordinating a clinic in early March through NYSCA for a state or regional license for coaches. On another matter, there is a no-cost program called KidSafe through the state police. Coaches sign KidSafe pledge; a private investigator checks coaches against database of pedophiles. No fingerprints, just social security check. New program goes even further. Jill will set up DEF training and wanted to know when BRYSA folks would be available. Atkins said they are available any time. Julie from BRYSA is contact.
Why did the junior teams only have five games, Frank asked. All teams at each level play the same number of games. More games in the Spring, because the weather is better.
STUDY:
Betsy is working on a yearlong study. She's a master's student at U.Va. Her thesis is about parent and coach interventions and whether it works to keep parents under control and adds to kids' enjoyment of the sport. She wants teams that will allow her to come to under-11 teams and run a parent-intervention program. She is looking for an age group where parents are still a strong influence. She needs eight teams to let her research them. There would also be a control group. Four teams would be controls; four would get the intervention training. Both would get literature. Theory is the parents are influential. Is there a difference in the children and their enjoyment out of the experience, are the children more motivated to continue in soccer, with the parents in the intervention group? She would also monitor parent behavior on the field. Her advisor, Dr. Maureen Wise, will approve everything in the project. Whatever Betsy does will be approved by Wise. This is very timely right now, in light of the hockey trial. It can be so positive, soccer can. The board does nothing. The review board at U.Va. will approve Betsy's plan first. It will be developmentally appropriate. If we say OK. Then parents would have to fill out questionnaires before, in the middle and after. The children would have questionnaires to fill out before and after the season. Everything is confidential. Everyone will have to give written permission. U.Va. covers appropriate insurance. The CCYSA would give the board a report afterwards; parents can also have a copy of it. Betsy said she can do a presentation for us. BRYSA could participate, too. Her goal is to do it this spring. Research seems to show that with a 3-hour coach intervention, the kids have a better experience and want to come back. Betsy said that she will e-mail us a summary of the project.
REGISTRAR:
Pat Pope assumed the job of registrar. Pat did training with Kelly Murphy. Pat and Kim have keys to the mailbox. The mail registration has started coming in. Pat is making all of the deposits. Kim gave her deposit slips. Pat gives the deposit slips to Kim after marked. Pat will make copies of all checks. Pat's answering the hotline. Frank is the registration liaison who will answer questions. Some parts of registration software aren't working. 62 kids registered so far. Scholarships are available for financial need. Pat should pass those along to Frank. Michael Flagg dropped out due to Scout conflict; did we give him a credit? Mary Flagg said that she had paid for both kids last year. Mary said that Chip said that the Flagg boy could play this year - did he get a check? Recommendation for age range: Is your child four by Aug. 1?. If so, they can play. Alecia Schultz broke her leg, so at the Oct. 24, 2001, meeting, the board had approved her credit for this season. Kim did get a second key from the post office, since the one Kelly Macklin sent by mail got lost.

Frank moved to accept. Jill seconded. All agreed.
BOARD & TREASURER POSITION
Kim gave the information to Chris Nott who had agreed to be treasurer and registration liaison. Kim stopped by his house, called daily, etc. She got no response. Nott didn't send the information to the schools, pay the bills, pick up the mail, etc. We still haven't heard from Nott. He did drop off the checkbook and key eventually. Nothing had been touched since Kim gave it to him. Pam made a motion to remove Nott from the board. Chip seconded. All say aye.
Scott Treadway hasn't returned calls, so appears not to be interested in joining the board.
Tom McCall turned in his resignation.
Pam, Kim and Frank have check-writing authority
Pam will be interim treasurer, until two new board members are found.
TREASURER'S REPORT
The bank balance was $15,026.69
$12,075.91 is the ending balance. Copy of report was given to secretary for records.
REMOTE FIELDS & TRAVEL TEAMS
Frank points out that the travel teams often practice outside of the park. We are supposed to pay back the schools with hours for use of the fields. Frank suggests that we consider paying for uniforms.
March 9-June 15, Kim is requesting the use of the fields from the schools. At JWMS, we contact Randy Trenary directly about using the JWMS field. Kim is meeting with Rick Catlett again. Kim wants to revisit the commitments CCYSA has made before to see if there are things left undone. We were supposed to give 200 hours. We definitely never hit that number. Rick's concern was that he didn't want individual coaches contacting him directly about using the field. Travel coaches need to know not to go to Catlett directly to request field time. All contact with JWMS for fields need to go through the CCYSA board.
Keystone asked that we donate liner instead of money.
CAMP
Packet here from Challenger sports, who has conducted the camp before. We only made about $120 the last time we did it, the park didn't help with administration or promotion of the camp. Do we want to have a camp again? About 25-40 kids participate in the camp. Need 10:1 ratio. Kim is meeting with DCUnited (Drew Young) to discuss possibilities - coaches training, camps, etc.
TRAINING
Coaches meeting: March 7 - divide teams, equipment distribution, field assignment/use, referees, coaches training signup, length of game, have BRYSA rep there - at 7 p.m. Place TBA.
Coaches training: Afternoon training after games, maybe April 6 Friday night and Saturday afternoon, F, minimum license, subject to trainer availability; Also June training for D. NYSCA training at the park is mandatory.
Referee meeting: March 14 at 7 p.m. - The kids have grandiose ideas for refereeing kids at ODSL or BRYSA. Could be a problem getting referees. Expectations for the refs, pay, benefit/continuing education, need to get list of referees and addresses/etc. Jill's goal is to create a stable of referees. Call Matt House to get names. Need to match experience level to what you're coaching.
