CCYSA Minutes February 10, 2003



Frank called the meeting to order at 7:15 p.m.

ATTENDING: Frank Beam, Lou Robinson, Anastasios Mavrellis, Pam Lettie, David Applewood, Doug Lawrence and Pat Pope. Mike Casey arrived at 7:40 p.m.

MINUTES: A motion was made and passed to accept the January minutes.

TREASURER'S REPORT: Dave said that we have $27,473.83 in the bank. A motion was made and passed to accept the treasurer's report. The signatures have been changed at the bank. Dave will start checking the mail again, since Pat's done with registration. Dave was wondering what standing bills were due when.
VYSA fees due 4/1
Park fees are due 4/1
Kidsafe fees are due when we pay VYSA. Anastasios will check on the amount we owe.
Doug reminded everyone that we have two CDs at the bank to use for capital improvements.

REGISTRATION:
1. Birth certificates: The regular term of spring registration is over. We have 320 players; 41 of whom haven't turned in birth certificates. Pat said that she will not sign player cards unless the kids give us a birth certificate. (BRYSA didn't return the certificates, so even though the kids may have turned them in originally, we don't have them anymore.) Pat sent out letters last spring requesting certificates and only received 5 certificates. It appears as though it's only about 20 families who need to get the birth certificates to us.
2. Software: Pat says that it works great. Kelley was a huge help getting the software running again after Pat's computer crashed.
3. Payment: The board voted to pay Pat tonight.
4. Miscellaneous: Five people sent in incorrect fees; only one person sent in late fees. Few late registrations came in, making the process smoother. Handing out the forms at schools helps a lot.
5. Rusty: He came in with a special request. He has a U12 team and two brother who want to play together. Frank said that the in-house teams can't play up, but it seems like travel teams can play up. Mike noted that the older brother in this case would actually be playing down, which is never allowed. It doesn't look like we can accommodate the special request. Mike will research the date issue (birthday is April 1990) and get back to Rusty.

Since there are 9 girls who wants to play on all girls teams, we had to figure out how to accommodate them. The best solution is this:
1. The U12 coed teams will play in the SFL. Anastasios will verify what size teams they field.
2. The U12 all girls and the U10 all girls teams and the U10 coed teams will be combined in a U12 in-house group. The all-girls teams will play against themselves twice. Lou will make sure that it's no problem insurance-wise to play 10-year-olds in a U12. They will play 8v8 in house.

Everyone will play 9 games this season.

SFL takesU12 and up. Anastasios will check on what size team is on the field in the SFL. Kim needs to let Anastasios know who the SFL rep is.

Mike's travel team is going to play in the SFL this season.

Maybe our U16 and U19 players will be able to play in Blue Ridge or SFL teams, since we don't have enough players to fill a team. Frank will check with Pennypacker and Anastasios will check with the SFL, particularly with Round Hill and Purcellville teams.

SMALL-SIDED GAMES: All of our fields are too big for the new team sizes. Also, we'll need more coaches. We are going to this next fall, giving us the summer to attend VYSA training and change the field setup. We will make the change to the mandatory that's 18 months away instead of changing twice in 18 months. We're behind in this. Many other clubs are already playing smaller-sided fields. We are going to:

COACHES: Doug suggests that we get names for all of the assistant coaches this season, so we can encourage and train them to coach in the fall when we go to small-sided games and need more coaches. Coaches' meeting is March 3 at 7 p.m. at Johnson Williams, assuming a room is available.

FIELDS: Doug and Kim will walk through the park to discuss possible new field configurations for fall. We need an agreement with Johnson Williams for field use. Usually our fee is based on the number of hours we need JW fields for practices, which will be determined after the coaches' meeting. The park is a better deal for CCYSA, for the amount of time we use the fields. Doug will check on a new Boyce soccer field status.

NOTE TO JULIE: The Gremlins won't need shirts this season.

SCHOLARSHIP: A motion was made and seconded to give a scholarship to one coaches' daughter.

SMOKING: The county has a no-smoking policy. The board supports the park's no smoking stance, leaving the enforcement to them.
