CCYSA Minutes May 12, 2003



Frank called the meeting to order at 7:05 p.m.

ATTENDING WERE Anastasios Mavrellis, Lou Robinson, Pam Lettie, Frank Beam, Doug Lawrence, Kim Moyer and David Applewood.

MINUTES: All reviewed the minutes from last month. They needed to be changed. Under the April treasurer's report it should read "have not yet cleared" instead of "have yet to be paid." David made a motion to accept the minutes with changes. Anastasios seconded. It passed.

TREASURER'S REPORT: CCYSA has $23,487.21 in the bank. Both CDs have renewed. The 12-month CD has a value of $6344.44 and the six-month CD has a value of $5,964.33. Both CDs are dedicated to capital improvements. We need to pay each coach the $20 they are owed as a rebate for coaching.

SFL: The only thing we pay for in the SFL is referees.

COACHES: They need to keep health forms and first aid kits with them at all times.

FALL REGISTRATION: One player wrote a very nice letter with her registration asking for a scholarship. The board voted to give her one. Dave will let her know.

FIELDS: Doug priced a couple ways of getting ride of rocks on the fields. The air compressor was the less expensive, probably about $250 or so. A motion was made and passed to ask Doug to move forward with getting the air compressor and talking to Rick Catlett and the park to make sure it's OK to remove the rocks. Doug is also working with the park to see what it would cost if we plow and sow grass seed next to the new field. Eventually that may be some other kind of field, but we could use the space now. Doug's getting prices. The board expects that the park will give us discounted use of that field.

SMALL-SIDED GAMES: More fields will be needed. There will be no goal keepers in the younger age groups and no corner kicks.

POLICIES and PROCEEDURES: We need to set up a committee to update the policies and proceedures, particularly with the changes coming with small-sided fields. Everyone should make recommendations of participants and how the process should work to Frank.

KIDSAFE: Anastasios put in the new coaches.

RAIN, RAIN, RAIN: Games galore have been canceled and rescheduling is getting tough. Frank will make sure tha t we have the fields long enough. He will also check with Lisa to see if she can close some fields, but not all.Make up games will be on Wednesdays or on weekends. There will be no games during practice. The divisional coordinators will distribute the new game schedule. All May 10 games will be played June 14 at the same times. Frank will tell the Middler coaches, and Clegg and Ravenscroft. He will also talk to Sally about getting referees.

PHOTOS: CCYSA really, really needs to have two picture dates. Would Olson come twice during the season? Would Rachel Bedell do one session? The spring break timing of the pictures wasn't good. Also, the schedule for pictures needs to go out at the same time as the game schedule. Robin Brevard is interested in helping set up pictures.

PICNIC: Mike says D.C.United is coming to the picnic along with the Challenger folks. The picnic is from 5-8 p.m. With dinner at 5:15 p.m. Kim will get the school use agreement for CCHS. Pam needs to let the board know when we have to decide whether it's rain or shine. Frank will call the schools to get them to announce the alternative rain location.

EQUIPMENT: Doug needs to get replacement ice packs to hand out to the coaches.

The meeting adjourned at 8:45 p.m.
