CCYSA Minutes July 10, 2002




Kim called the meeting to order at 7:30 p.m.
Attending were: Pam Lettie, Kim Moyer, Chip Dodson, Frank Beam, Doug Lawrence (arrived later), Mike Casey

MINUTES: The June minutes were amended to include the reprimand of Doug Hunt and a rewording about asking McCall to invite us to a park board meeting. Then they were approved unanimously.

TREASURER'S REPORT: The bank balance is $19,570.79 as of 6/30/02.

PARK: CCYSA would like agenda time at the August park board meeting.

FOLLOW UP: Kim called Ann Smetanick to remind her that she owes us $200 for patches. Kim read the letters to Doug Hunt and Jeff Henry.

CAMP: 15 kids have signed up for camp, mostly ½ day morning. Challenger says they will send a coach for the whole day, so it's OK to have a few kids in full day. They will give us one coach unless we get 20 kids. Mike will make sure that they won't cancel on the first day of camp, if there aren't enough kids. The park wants us to use the senior field with the goals moved in. Mike has arranged for housing for the first coach.

REGISTRATION: 271 have signed up to date. We are still missing 53 birth certificates. 26 girls have signed up for all-girl teams - an awkward number in a variety of ages that will need to be shifted around somehow. Extensive discussion centered on the best way to allocate the girls to existing teams/coaches to give them a positive experience. Kim will call the older girls who signed up with CCYSA to ask them if there wasn't an older girls' team, would they play coed or get their money back? Frank will call the three girls who might want to play travel.

FINDING COMPETITION: Dave McGuigan called other clubs, such as Shenandoah County (Woodstock), Shenandoah Valley United (Harrisonburg), Warrenton YSC (Fauquier), the Suburban Friendship League (Loudoun) to find teams for us to play. The Suburban Friendship League (SFL) seemed like the best bet. Rick Reed is the commissioner. SFL plays U12 and above, single sex teams of about the same age. The have two divisions, Division I for older kids and Division II for younger kids. More skilled teams can be bumped up. SFL does all scheduling. It would be hard to get teams to come to Berryville, but we could meet ½ way or play teams from western Loudoun. They schedule everything. The cost covers only referee and minimal field expenses. We get reimbursed for referee fees for games played here. If we participate, we must at least meet their standards, but we can be stricter than they are. We submit a roster at the beginning of the season. They are flexible about allowing some mixed sex teams. Younger kids can play up in the SFL. There would be 8 games. They will allow seniors to have more than 18 players on a team. Mike suggested using the "U" designation, so we can mimic other organizations. Chip suggested saying the name of the division and the age range. There is no SFL option for U10, although we had 12 girls sign up. After the clinic, coaches wanted smaller sided fields: 4v4 for instructional, 6v6 for Bantam and 7v7 for Middler. U16 and U19 are based on skill. If we decide to go with SFL, we need to have a smaller meeting to discuss options for dividing up the teams and allocating players. Aug. 9 is preseason SFL meeting and CCYSA needs to send someone. If we play coed, we have to play boys. PARK: For the Aug. 5 park board meeting, Doug needs to have CCYSA future needs ready. Mike wants to start travel practice in August. Where would be good? Let Kim know if coaches want to use JWMS fields, and she'll contact Rick. Last year, the fields were available from Aug. 15, 2001. Kim is liaison to the Park; Doug is field rep. New contract, probably with higher fees, will be coming in winter to be signed by spring.

COACHES and REFEREES: Dave did a first draft of the game cards. Debbie, Kim and Mike are revising. Parents want a drop box at the park for referee cards. ODSL uses mail. CCYSA will have refs mail cards, but we'll supply the stamp. CCYSA has a policy of paying referees within 30 days of the last game, similar to the time frame used by other clubs.

TRAVEL: CCYSA needs to get park fee info before billing the travel teams. Travel teams need to make a formal request to be sponsored by CCYSA.

CALENDAR: Sept.. 7 is the first Saturday game.
Aug. 19 is the date to order shirts
Aug. 5 is the coaches meeting
Aug. 15 is the first possible practice date
Aug. 7 is the next board meeting
