CCYSA Board Meeting July 11, 2001

I. Minutes of June meeting were approved.
II. Treasurer's Report-Kim reports referee pay is not paid yet. The camp
registration was not a simple process, Kim having several conferences with
Tom Robb. 27 kids registered, with income of $2100, with $4 each due to the
park, $5 each for CCYSA, and $1927 is due to Challenger. Kim will work out
our final income from the camp. We paid out last month $350 to Powhatan and
Keystone for use of the fields, $98 in ads in the Clarke Courier, $120 for
banners to Patty House. Previous balance was $12,299.21 and ending balance
is $13,893.98. No deposits for registration or camp income have been made
yet.
III. Registration-Kim reports that this season's registration has gone very
smoothly with 274 registrations made before the late fee deadline, with a
total of 281, which about our normal numbers. The early registration period
seems to be a success. Kelley Murphy needed to make only a few phone calls
to those who missed the end date. Kelly M. asked the board to consider
keeping the deadline open for people who have moved into the county after
June 30 date and who would have had no access to our publicity, with an
August 1 cut-off. The issue was warmly debated by those calling for more
flexibility on our part, and those who felt it was unfair to those who had
already been denied the opportunity to register within the community, and to
change the policy after the fact. In the end, the board voted 5-2 to allow
late registrations for people who had moved into the county after
registration had closed, and voted to have, in future, a 45 day late
registration period, following the cut-off of regular registration.
IV. BRYSA- Chip and Kelly attended the Brysa board meeting following a phone
call from Brysa commissioner, Ty Headley, that Brysa was considering not
having outside teams play in their league this fall, and having Clarke
County players register through their league. Chip spoke to Brysa, pointing
out that we had had no notice, we had already finished our registration, in
part to meet their deadlines, that our league pays for the use of the park
and we needed all the income from our players to meet our budget.
Unfortunately, Brysa's board did not have a quorum, so that no vote would be
taken that night. Ty seemed to think we could place our teams for "friendly"
scrimmage games, with no tournament play, for the fall season at least.
However, no firm decision could be made until their next meeting in August.
This affects at least 6 teams: 2 girls, 2 or 3 junior teams, 1 or 2
intermediate teams, and the senior team. We need to consider the possibility
of having to try to find other teams to play in neighboring counties.
V. Skills night for bantam and middler players new or moving up to the
division will be held Tuesday, August 21 from 5:30 to 6:30pm at the middler
field in the park. Coaches meeting will follow at 6:30pm for coaches to get
rosters, practice schedules, and equipment. The first games will be
scheduled for Saturday, September 8 and the last games on November 3 for
in-house teams.
VI. Patches-the board voted to order 1000 patches with the same logo but
different colors for the fall season, and for availibility to travel teams
to purchase. Kelly will set in motion.
