CCYSA Board Meeting Minutes
12/12/01 at CCPR
Kim called the meeting to order 7:20 p.m.
Attending: Kim Moyer, Chip Dodson, Mike Casey, Pam Lettie, Frank Beam, Jill Butler, Doug Lawrence with Stuart Atkins visiting from BRYSA.
BRYSA: Atkins spoke first. He said to ignore everything we’ve heard before from BRYSA. He doesn’t see policy and proceedures changing until after the spring season, if even then. Date will be set in February for receipt of rosters and money; that’s a firm deadline. BRYSA felt hung out to dry by VYSA last year on the rosters. They want everyone to play by the same set of rules; that didn’t happen last year. This year, they want everyone on the same page. Chip pointed out that some of BRYSA’s junior teams didn’t have passes; Atkins agreed that wasn’t right. Chip said that BRYSA asked for the passes at the last minute. Atkins said that wasn’t right. Chip said that they need to give us the rules with enough time for us to follow them. Feb. 12 (Atkins will verify date and get back to us) we have to give them the number of teams and the completed rosters. We can add players through the end of our late registration. Trying to get trophies out of BRYSA; want it to be pure recreational league. May even want to get rid of tournament. Chip asked if we can schedule some of the games here, particularly if it’s our team versus our team. Atkins said he had no problem with it, but thought Warren County wouldn’t like it. Atkins brought it up a couple times last year, but rumor was that BRYSA was going to have to pay extra to use Clarke County fields. CCYSA needs more notice of coaches meeting. March 7 or 8 will probably be BRYSA’s coaches meeting. Atkins is the contact to firm up BRYSA dates; his number is 722-2363. Denis Doherty is referee liaison, 869-1198. Atkins welcomes calls. Atkins hopes that VYSA licensing can be in Clarke; both counties have been burned by lack of attendance. Next BRYSA board meeting is the first Thursday in January; BRYSA calendar should be firmed up by then.
MINUTES: Need to take out the phone code. Doug motion to accept; Chip second. Minutes accepted.
BOARD: Frank moves that we accept Mike Casey onto board. Chip seconds. Motion passes. Mike Casey is now a member of the board.
TREASURER’S REPORT: Ending balance $14,368.69. Most of the outflow was due to referee pay for the fall season. Two sponsors and two travel teams haven’t paid yet. Kim sent a letter to those who haven’t paid, then called to follow up on invoices.
PARK CONTRACT: Terri called to give us a heads up to their reaction to our letter of intent. The per player fee was nixed again. Fee will again be 30 percent of the maintenance cost from the pervious year. CCPR wants a March 18 start date, not the March 1 date that we requested. It’s okay for us to use the fields at 4:30 p.m. except the senior field, which will be available at 5 p.m. On Sundays, we can only have the fields during games. CCPR wants us to be done by Nov. 3, but we have to go along with ODSL. Previous contract ended Nov. 4. It’s out of our control when the travel teams end their season, because they are part of ODSL. Doug made motion to accept contract; Kim seconded. Motion passed. Sally Tebbetts is going to be the ODSL representative.
PROCEDURES AND POLICY: The board walked through the policy and procedures. Chip took notes and will type them up for the next meeting.
SURVEY RESULTS: Pam handed out the survey results. Need to retally after get mailed ones back.
SPONSOR PLAQUES: Kim has thanks-you letter and plaques. She divided them up and handed them out for board members to give to the sponsors.
OTHER: Photographer is OK with two dates for pictures; it will be digital next year. Kim brought fall registration form; Chris is working on it. First practice is March 18; March 14 is coaches meeting; April 6 is first game; June 8 was the last game. E-mail Chip with other newsletter information. Only one person applied for registrar and she’s not returning calls. Kim has another person who is interested.
New travel team starting U-11 boys.
Next meeting: Jan. 16, 2001. Need to set coaches training.
